Archiving and
UnArchiving POs By Range |
||
Instead of deleting records from our database, ULTRA now “archives” them. Why? Because you can UNARCHIVE (reverse) the archived POs at
any time. Deletions,
however, are permanent and unretrievable. These
functions allow you to save POs in an ARCHIVE database and remove them from
your CURRENT database where they just take up space and cause your reports to
be unduly lengthy. Note: You may restore the POs to CURRENT
status by using the companion UNARCHIVE function. We will discuss both functions below. |

Options for Archiving POs There
are two options for ARCHIVING POs: Option “A”: Selecting POs by a
Min/Max Range Option “B”: Selecting Individual PO

Option A: Archiving POs by Range |

The benefit of
this method is it lets you manage a LARGE NUMBER of records with a few
keystrokes. Hint: Just follow the number balls
(u v w) below. First u choose the range SEARCH FIELD for selecting
the range of POs. Your options are PO
Date and PO Number. Here, we
choose PO Number. Next, v we enter the MIN/MAX PO #s and
then w click the “ARCHIVE” button. The selected POs
based on our Min/Max data ranges appear in the OPTION A GRID..

z We see now In
the CURRENT PO grid that the first PO NUMBER Is 17899 and the next row is
19701. This confirms the 310 POs were
removed from between this range. On the bottom ALL
ARCHIVED POs grid, we see that POs 18110 -18999 were added. |

We
can reverse the ARCHIVING PROCESS by repeating the same steps and clicking the
UNARCHIVE button. |

We
see that the POs 18000-19000 are
returned to the ALL CURRENT PO grid, and the ALL ARCHIVED POs grid is now empty. |
